At Synergy HomeCare, we strive to provide exceptional care and improve the lives of those we serve. We are seeking a Client Service Associate/Staffing Coordinator to join our team. This position focuses on providing excellent customer service and quality home care with focus on delivery and coordination of client services, growth and development of caseload (through relationship building and recruiting efforts) and on-going sustained mentors for the caregiver. This role involves managing caregiver schedules, addressing last-minute changes, and maintaining compliance with company policies and industry regulations. The ideal candidate has excellent organizational, communication,and problem-solving skills.
KEY REPONSIBILITIES:
1) Ensure that staffing levels meet the requirements of the patients’ care plans.
2) Develop and manage schedules for caregivers based on client needs and availability.
3) Ensure appropriate caregiver-to-client matching based on skills, experience, and client preferences.
4) Handle last-minute call-offs, replacements, and schedule adjustments promptly.
5) Act as the primary point of contact for caregivers and clients regarding scheduling matters.
6) Address client concerns related to staffing and escalate issues as needed.
7) Maintain regular communication with caregivers to confirm shifts and resolve any conflicts.
8) Maintain accurate records of schedules, attendance, and caregiver availability.
9) Monitor and report on staffing trends, shortages, and areas for improvement.
10) Answer all client questions or concerns, related to service, scheduling, billing, etc.
11) Update information and schedules as changes occur.
12) Document and properly follow-up with all client/employee incidents and complaints.
13) Assist with payroll processing by verifying hours worked and resolving discrepancies.
14) Maintaining effective fiscal management of caseload.

Make decisions and provide feedback to employees related to recognition, pay rate changes, counseling and termination on employment.
15) Follow up on all employee assignments immediately after services have begun, and on an ongoing basis, to ensure continuing satisfaction of clients, their families and employees.
16) Manage workers compensation claims and reporting.
17) Together with the entire office staff, answer phone calls, greet visitors and generate correspondence as necessary for office needs.
QUALIFICATION:
Minimum (1) one year recent and verifiable within a Home Care setting
Previous experience in healthcare staffing, scheduling or home care coordination preferred.
Have a sympathetic attitude toward the care of the sick and elderly.
Ambition to grow and advance beyond current position.
Maturity and ability to deal effectively with the demands of the job.
Must perform and manage multiple responsibilities concurrently and work well under pressure.
Excellent communication, strong organizational, problem-solving skills, and interpersonal skills.
Proficiency in scheduling software and Microsoft office (Word, Excel etc.)
Ability to deal with frequent interruptions, last minute changes to a previously-established schedule, multiple priorities and the ability to accomplish tasks against deadlines.
Perform responsibilities with minimal supervision, and must possess a high degree of initiative, and the ability to organize and prioritize responsibilities.
